Switching from Viterbit, Bizneo or Teamtailor to Mainder
Switching recruiting software is more worrying than it is hard. The worry usually comes down to three things: losing candidates on the way, cutting off the hiring processes you have open, and getting GDPR wrong.
When to switch
Your contract sets the timing. Teamtailor's contract, for example, renews automatically for twelve months unless you give a month's notice, and Bizneo is sold as an annual subscription. Look for two dates in your contract: the renewal date and the last day to give notice that you will not renew.
With three months to spare there is time to see Mainder with your own processes, decide what moves, run a test load and let the team work with both tools for a few weeks. Three weeks can work too, but you will be choosing in a hurry.
What moves
What you need to keep working the following Monday:
- Candidates and their CVs. The files are stored in Mainder, and before we sign off the load we open a sample of CVs by hand.
- Jobs and applications, each at its stage, so you know who went through which process and where they stopped.
- Your team's notes on each candidate.
- Folders you use to organise your database.
- GDPR consent. If your tool stores the consent date, we migrate the consent with that date, not the date of the migration. If it does not, we agree with you which date to use, such as the last application.
- Clients, if you are an agency.
Templates and automations are not copied. Every tool models them its own way, so you set them up again in Mainder with our team.
How the migration works, step by step
- Extraction. You export your data from your current tool, or give us admin access so we can extract it.
- Mapping. We go through each field with you: which folder becomes what, and what to do with incomplete records and duplicates.
- Test load. We run a rehearsal that is rolled back at the end and review the result before the live load.
- Live load and checks. We load, count and open a sample of CVs. You give the final sign-off.
- Overlap. Processes you already had open can finish in your previous tool. New ones start in Mainder.
- Deleting at the source. Once everything is validated, we tell you that you can delete the data in your previous tool. You choose when.
Before we start we send you a quote based on the volume and on how your tool exports data. If extra work is needed, such as extracting the text of scanned CVs, it is part of that quote. If you want to see how it would look with your database, we can go through it in a demo.
Coming from Viterbit
Viterbit lets you export candidates and applications as CSV or XLS from inside the app, with no candidate limit. For the rest of the data it has an API, which is not switched on by default, not even for admins: look for it under General settings, Integrations, and if it is not there, ask Viterbit. Do it early: when the subscription ends, Viterbit archives the information and your careers page goes offline.
Viterbit has been part of InfoJobs since July 2026 and keeps its own brand. If what you value in Viterbit is its WhatsApp and voice interview agents, check them against what you need first: we go through it row by row in Mainder vs Viterbit.
Coming from Bizneo
Bizneo sells its ATS separately from its HR suite. You can move recruiting to Mainder and keep Bizneo for employee records, time tracking or payroll preparation. When you leave, Bizneo hands you a file with the information in your database; check that it holds your whole database before you close the account. Its API is sold as an add-on.

Coming from Teamtailor
Teamtailor exports candidates to a CSV file sent to your email, and has an open API for the rest. Under its terms and conditions, the contract renews automatically for twelve months unless you give at least one month's notice. After termination you have thirty days to ask for your data back; if you do not, it is deleted within sixty days.
If Teamtailor's careers page is what keeps you there, see how Mainder's Career Sites work in Mainder vs Teamtailor.
Your data during and after the switch
Mainder's AI scores each candidate against the job requirements and explains the reason for each score, so your team can review it and question it. More detail in security and compliance.
When switching is not worth it
- You have just renewed. You would pay for two tools for months. Note your notice date and come back before it.
- The tool is not your problem. If you are short of candidates because nobody goes out to find them, a new tool will not fix it. Searching outside your database will, which is what People Finder and AI Hunt do.
- What you really use is the HR suite. If payroll and time tracking live in the same tool, keep that part and move only recruiting.
Frequently asked questions
How long does the migration to Mainder take? It depends on the volume and on how your current tool exports data. We plan it with you during onboarding, with its quote, with a test load before the live one, and your open processes stay where they are in the meantime.
Do I lose my candidates' GDPR consents when I switch? No. If your tool stores the consent date, we migrate the consent with that date. If it does not, we agree with you which date to use, such as the last application.
What happens to the processes I have open? They can finish in your previous tool while it is still active. You open new processes in Mainder from day one.
Where is my candidate data stored in Mainder? On Amazon Web Services, in the Ireland region, with backups replicated in London. Mainder is ISO 27001:2022 certified.
Do I have to leave my HR software? No. If you use Bizneo, Factorial or Personio for people management, time tracking or payroll preparation, you can keep them and move only recruiting to Mainder.
