Mainder vs Personio: recruiting software or an HR suite with a recruiting App

Mainder is recruiting software: sourcing, CRM and applicant tracking in one place, with a proprietary AI engine that goes out and finds candidates who never applied. Personio is an HR platform where Recruiting is a paid App on top of the Core plan, alongside Surveys, Performance and Compensation. The two products meet at the ATS and diverge everywhere else: Personio owns everything that happens after the hire, and Mainder owns everything that happens before it.

Trusted by +300 recruiting teams across 14 countries, 53,520+ candidates processed.

Mainder vs Personio at a glance: this is less of a head to head than most comparisons in this cluster. Personio is the system of record for your people, from contracts and absences to payroll prep and performance. Mainder is the engine that fills the roles. The two real decision points are what your billing scales with, seats for us and payroll employees for them, and whether your bottleneck is finding candidates or administering them.

Which one fits your team?

Choose Mainder if you...

  • Cannot fill roles from inbound applications alone and need the software to go out and find people.
  • Are an agency, where per employee pricing makes no sense: your product is placements, not your headcount.
  • Want the ATS included rather than as an App you add to the Core plan.
  • Need sourcing today rather than on a roadmap.
  • Hire at high volume or in blue collar roles, where the pipeline empties faster than inbound refills it.

Choose Personio if you...

  • Want hiring, contracts, absences, payroll and performance in a single system of record. No pure ATS competes with that, ours included.
  • Are an HR team whose bottleneck is administration, not finding candidates.
  • Hire at low or moderate volume, where inbound and multiposting fill your roles.
  • Have offices in Spain and want a vendor with local presence in Madrid and Barcelona.
  • Sit between 10 and 10,000 employees and prefer one vendor over a stack.

The honest read

These two products are complementary far more often than they are alternatives. If the comparison you are actually running is "Personio or Mainder", one of the two is probably answering a question you do not have.

Moving from Personio to Mainder?

Migration covers candidates, jobs, application history and recruiter owned CRM data. Most teams that run both keep Personio as the system of record for employees and add Mainder in front of it for sourcing and pipeline.

Common questions

Is Personio an ATS?

Personio includes an ATS, but not in the Core plan. Recruiting is a paid App you add on top, alongside Surveys, Performance and Compensation. The Core plan is the HR platform: contracts, absences, time tracking and payroll prep.

Does Personio do outbound sourcing?

Not as a feature you can switch on as of July 2026. Personio has historically been inbound and multiposting, with 800+ channels. In April 2026 it acquired aurio, an AI sourcing engine that does crawl external talent, and announced integration into Personio Recruiting for later that year. Confirm the current status with Personio before you buy on that basis.

Can Mainder replace Personio?

Only on the recruiting side. Mainder does sourcing, CRM and applicant tracking. It does not do contracts, absences, time tracking, payroll prep or performance reviews, which is most of what Personio is. If you need a system of record for employees, you need Personio or something like it.

Which is cheaper, Mainder or Personio?

They bill on different units, so the answer depends on your shape rather than on a price list. Mainder bills per seat, so it scales with how many recruiters you have. Personio bills per employee on your payroll, plus a one off implementation fee and the paid Apps you add. A ten person agency placing hundreds of candidates and a 500 person company hiring occasionally will get very different answers.

Can I run Mainder and Personio together?

Yes, and that is the common setup. Personio stays the system of record for employees and Mainder sits in front of it for sourcing and pipeline. The handover point is the offer.

Other Mainder comparisons

Personio competes with the other HR suites, so Mainder vs Factorial and Mainder vs Bizneo cover the same shape of decision. If what you actually want is a pure ATS comparison, start with Mainder vs Workable. The full set lives in all Mainder comparisons.
